Purchasing Administrator \n\nIndustry: HVAC Wholesale / B2B Distribution\n\nPosition Summary\n\nThe Purchasing Administrator supports the procurement and inventory functions of a wholesale HVAC distribution business. This role is responsible for processing purchase orders, coordinating with suppliers, tracking inventory levels, maintaining accurate purchasing records, and ensuring timely product availability for customers and branch operations. The ideal candidate is highly organized, detail-oriented, and experienced in fast-paced B2B supply chain environments.\n\nKey Responsibilities\n\nCreate, process, and manage purchase orders for HVAC equipment, parts, tools, and supplies\nMonitor inventory levels and assist with replenishment planning\nMaintain accurate supplier pricing, lead times, and product records within ERP systems\nCommunicate with vendors regarding order confirmations, delivery schedules, shortages, and backorders\nTrack shipments and resolve discrepancies related to orders, invoices, or deliveries\nCoordinate with warehouse, sales, and operations teams to ensure product availability\nAssist with forecasting and purchasing reports\nEnsure purchasing activities comply with company policies and budget guidelines\nMaintain organized purchasing documentation and audit trails\nIdentify opportunities for cost savings and process improvementsRequired Skills & Qualifications\n\nPrevious experience in purchasing, procurement, inventory control, or supply chain administration\nExperience in wholesale distribution, HVAC, construction supply, plumbing, or industrial products preferred\nStrong understanding of purchasing processes and inventory management\nProficiency with ERP systems and Microsoft/Google systems\nExcellent organizational and multitasking abilities\nStrong communication and negotiation skills\nHigh level of accuracy and attention to detail\nAbility to work effectively in a fast-paced B2B environmentPreferred But Not Essential Qualifications\n\nExperience working with HVAC products, components, or technical wholesale distribution\nKnowledge of supplier lead times, seasonal demand planning, and stock controlKey Performance Indicators (KPIs)\n\nPurchase order accuracy\nInventory availability and stock-out reduction\nSupplier on-time delivery performance\nInvoice discrepancy resolution time\nBackorder management\nInventory turnover support\nCost savings and purchasing efficiencyIf you have previous experience and would like more information, APPLY NOW!\n\nSearch is an equal opportunities recruiter and we welcome applications from all suitably skilled or qualified applicants, regardless of their race, sex, disability, religion/beliefs, sexual orientation or age
